The conditions below set out the terms and conditions between you, the student, and International House London.

Minimum age for students on General English programmes is 16 years old
Minimum age for students on Executive English programmes is 21 years old

Medical, travel and financial insurance

Your International House London course booking includes travel, medical and financial insurance protection at no extra cost. Check our insurance page for a summary of your inclusive insurance cover.

Cancellation Terms and Conditions

SCHOOL FEES ARE NOT REFUNDABLE OR TRANSFERABLE

All fees are payable in advance. If you wish to cancel, change or postpone your booking, we require ten day's notice in writing. Where less than ten day's notice is given, full fees are due and no refund is available (with the exception of accommodation fees).

General Accommodation
Ten day's notice is required in order to cancel accommodation. Where less than ten day's notice is given there will be a charge equivalent to one week of the accommodation. The remainder will be refunded.

Residential Accommodation
The cancellation policy for this type of accommodation differs depending on the residence selected. You will be informed of the applicable cancellation policy when your residential option is confirmed.

Cancellations and refunds once you have started your course

No refund is available after the start of the course (with the exception of accommodation where ten day's notice is required with the remainder refundable - exceptions apply).

Please note that where there is a change of course registration details or extension of accommodation an administrative charge of £50 will be made.

Cancellations and refunds where the School terminates the contract

The School reserves the right to terminate the booking without refund, where the students' acts or omissions are such that it would be unreasonable for them to continue their studies in the School. Please note that a course may be terminated at any point during its duration if a student is found not to have leave to remain in the UK or breeches the conditions of his/her leave.

Attendance and students’ holidays

Students are expected to attend lessons regularly and on time. Students lose tuition if they are late, absent, or leave before the course ends. Students attending courses of 36 or more weeks duration may take a holiday of four weeks without losing their course fee for the period
providing at least four weeks’ notice is given.

Course Availability and Cancellation

Every attempt will be made to place you on the course of your choice. However, International House London cannot guarantee a particular course and timetable until you have taken an entry test and had an interview. In the event of insufficient applications for a course, the school reserves the right to offer an alternative course of equal value.

Definition of one lesson
Each lesson or study hour consists of 55 minutes of study time.

British Immigration Regulations

International House London will provide the documentation required for students to apply for study visas where applicable. Documentation in support of study visa applications will only be provided upon receipt of full fees.

The School has a legal obligation to collate and maintain application information, as well as passport and visa data, and inform the Immigration Authorities of those students whose attendance falls below the standard required by their visa.

If a visa application is unsuccessful, IH London needs to be informed and a copy of the visa refusal letter should be sent to the admissions team. A refund will be issued when we receive this document but please note that the £95 registration fee is non-refundable.

Payment

Payment must be received in full four weeks before the first day of your course. If your course starts in less than two weeks payment must be received in full at the time of booking. International House London is not responsible for any bank charges incurred by international bank transfer. Please remember to quote your student number when making your payment.

No part of your booking is confirmed until payment is received in full.

You may pay by:

Your total course fees are made up of the following:

  • Course registration fee
  • Course fee
  • Accommodation fee (if applicable)
  • Bank transfer fee (if applicable)
  • Airport transfer fee (if applicable)

Registration Fee

A registration fee of £95 is payable for all new enrolments. If you start your next course within 3 months of your last course, this fee will not be charged.

Public Holidays

Public and school holidays in 2014 are: 2 January, 6 April, 9 April 25 April, 7 May, 4 June, 5 June, 25 August, 25 December and 26 December. There are no refunds or discounts for General English classes missed when a course includes a Public Holiday. No fees are charged for these days on Executive Centre courses. There will be no lessons between 24 December 2014 and 7 January 2015 but no fees are charged for this period.

Special Offers

Course discounts are valid from the date of advertisement. Discounts cannot be applied retrospectively to existing bookings.

Accommodation

Accommodation booking date

  • Accommodation is booked and charged for from Sunday to Sunday for the duration of your course.
  • If you wish to extend your accommodation after arrival please contact the Accommodation Office
  • If two students come together a shared room can be booked, otherwise shared room accommodation will be booked in the shared room option

Smoking in Homestays

Many British hosts object to smoking in their house particularly if they have children. It is therefore becoming increasingly difficult to place students who smoke in Homestays. If you are happy to smoke outside your host’s home please indicate this on your Enrolment Form.

Pets in Homestays

Many British Homestays have pets such as a cat or a dog. lt may be difficult for our Accommodation Officers to find a Homestay without pets so please complete this section of the Enrolment Form ONLY if you have a strong dislike or allergy to animals (either cats or dogs).

Special requirements

We will do our very best to deal with your special requests but are not able to guarantee this. It takes more time to deal with special requests so please send your booking as early as possible to avoid disappointment.

Arriving at your Homestay

You must telephone, fax or write to your host with your arrival time. If you do not do this then your Host may not be at home to welcome you

International House is only able to arrange accommodation for students studying at our school.

For Teacher Training Students

Minimum age for students on Teacher Training Programmes is 18 years old.

Making a payment

If you are accepted for a course, our confirmation letter will inform you whether you need to pay a deposit immediately in order to reserve a place. If this is the case we cannot reserve a place until the deposit has been paid. In all cases course fees should normally be paid at least four weeks before the start of the course. If you have not paid your fees by that date, you may lose your place. If you book your course less than four weeks before it starts, you must pay full fees at the time of booking.

Deposits cannot be transferred, (either to another course, course dates or candidate) or refunded.

In the case of cancellations made later than four weeks before the start of the course, requests for a refund can only be considered if we have been able to fill the place. The deposit and Cambridge ESOL registration fees (when applicable) are not refundable.

Please note that in the event of a candidate withdrawing from the course once it has started, IH London cannot refund fees or offer a place on a subsequent course without payment of further fees.

International House London reserves the right to postpone or cancel any course due to insufficient student numbers or operational problems. In this event the candidate will be given a full refund.

Selection criteria, assessment and grades

International House London cannot enter into correspondence or discussion concerning the reasons for an interview or a place on a course not having been offered.

All tutors on the Cambridge ESOL CELTA and Delta courses collaborate on the internal assessments and decisions are unanimous.

In all matters relating to selection and assessment the decision of the Director of Studies is final.

Making a payment

You may pay by:

  • Bank Transfer in £ sterling. Please note that International Bank Transfers and Bankers Draft payments will incur a £15 charge.
  • Credit and Debit Cards
  • Online by booking through our website
  • In cash by coming to the School in person.

International House is only able to arrange accommodation for students studying at our school.

EU Funding - Socrates - Comenius training grants

Comenius is part of the European Union’s Socrates programme which focuses on education. If you are a practising teacher in a country that participates in the Socrates programme (other than the UK as that is where the training you are interested in is on offer) you may be able to get a grant from the national agency in your country to participate in an approved training course that lasts between 1 and 4 weeks. If you have found the course you need and believe that it meets these requirements, then please contact your national agency. They will advise you about the application and selection procedures that apply in your country.

For Modern Languages Students

Minimum age for students on Modern Languages Programmes is 16 years old

Cancellation Fees

Course fees are non-refundable once the course has started. Cancellations made with less than one week's notice before the start of a Modern Languages course are subject to a 100% cancellation charge.

We reserve the right to cancel Modern Languages classes before the specified date if there is insufficient demand. In this case, applicants will receive a full refund.

For IH Oxford Younger Learner Students

These terms and conditions apply only to courses carried out at St Edwards’ School and detailed in the IH Oxford Younger Learners brochure. Please see separate terms and conditions for courses carried out at International House London.

Travel

All travel details must be finalised at least 14 days prior to the start of the course to guarantee an arranged airport transfer.

Conditions

All course places will be confirmed when either the deposit or full fees have been received. Payment of the deposit fee is regarded as acceptance of the booking terms & conditions and is non-refundable.

Amendment Charges

Once a course has been confirmed, amendments will be allowed at the discretion of International House and may be liable to an administration charge of up to £50.

Cancellation

If a booking is cancelled, we must be notified in writing at the earliest opportunity. All cancellations will be acknowledged in writing and he following terms apply:

  • Cancel 30 days or more before the course begins = 50% of the course fees will be refunded
  • Cancel 29 days or fewer before the course begins, or once the course has started = no refund of fees

NB:The £450 deposit payment is non-refundable.

Acceptance Conditions

We accept students on the assumption that they are of sound health and are aged 12 to 17 at the time of their programme with IH Oxford.

Injury/Loss

We do not accept responsibility for personal injury or for loss or damage to personal property unless it is due to the negligence of International House or its employees. Any valuables should be left at home. We do not accept responsibility for events outside the control of the company such as strikes, bad weather, war, transportation delays, sickness or quarantine.

Behaviour

The admission of a student is conditional on acceptance of these terms & conditions and of the rules published by the school; these will be sent out along with the joining documentation. While every effort will be made to contact parents or guardians regarding serious breaches of school rules, the centre manager may at his/her discretion impose sanctions, including suspension or expulsion. We reserve the right to dismiss any student whose standard of conduct is unsatisfactory at the discretion of the centre manager. There will be no refund of fees in cases of expulsion and all costs incurred due to this must be paid for by the student.

Damage

All students are liable for loss or damage to school property for which they are responsible. A deduction will be made from students’ pocket money or an invoice sent to parents for any loss or damage incurred.

Airport Transfers

We provide a meet & greet service together with transportation to the school to/from London Heathrow Airport between 10.00 and 19.00 on designated arrival and departure days. At the airport, all IH staff wear a uniform and carry large IH signs.

Health & Safety

We operate a rigorous Health & Safety policy. Staff are all CRB checked and undergo a period of training & orientation prior to students arriving at the school. All the relevant student: teacher ratios are adhered to as set out by the Children’s Act and relevant governing bodies of language travel courses such as EnglishUK.

Medical

The school has fully-qualified first-aiders and nursing staff. There are also excellent links with local accident & emergency facilities.

We cannot accept students on the younger learner programme unless the parents have signed and returned the completed medical and personal information form. You must inform the school of any specific information which is not included on the form but which applies to the student. Any medication that a student brings with them must be labelled in English and handed over to a member of IH Oxford staff on arrival.

We regret that any student arriving with a serious medical condition not previously reported on the medical and personal information form may be sent home with no refund of fees.

Food

The school provides healthy, nutritious meals with a choice of hot or cold food. Most dietary requirements can be catered for.

Insurance

All students must be covered by travel insurance in order to attend the courses at IH Oxford. Insurance is included in the fees.

  • The insurance policy provided includes:
  • Medical & associated expenses
  • Cancellation/curtailment
  • Personal accident, baggage, clothes & personal effects (excluding electrical gadgets, such as iPods/iPads, laptops, mobile phones etc)
  • Loss of money
  • Travel delay

A summary of cover will be sent to the student together with the booking confirmation.

Force Majeure

In the event of ‘force majeure’ such as fire, flooding, infectious diseases and other events outside the company’s reasonable control which may cause the closure of the school, no refund of fees will be made to students, except at the school’s discretion in exceptional circumstances.

Disclaimer

All details are published in good faith as of August 2013. All programmes are subject to availability and minimum class numbers. We reserve the right to alter any particulars such as fees at the discretion of the company. We reserve the right to cancel any course or close the school for whatever reason. Should this be necessary, we shall offer either a full refund or an alternative course for the same value.

Visas

The school will issue visa support documentation once all fees have been received. If the visa application is refused or delayed the student must inform the school in writing at least 14 days before the start of the course. If the visa application is refused and we receive a copy of the visa refusal letter at least 14 days before the start of the course, we will refund all fees except a £50 administration fee and any courier charges, providing that the student follows UKBA guidelines. If the student arrives at IH Oxford with the wrong type of visa, the school is required by law to make arrangements for the student to return home as soon as possible at their own expense.
