Welcome on board

Thank you for your interest in joining IH London. We look forward to supporting you throughout the recruitment and pre-onboarding process.

“Giant,” our third-party onboarding provider, will conduct all necessary checks (Step 3 and Step 4) on behalf of IH London.

Please follow the steps below to learn more about your onboarding journey!

Step 1. Recruitment Stage

Documentation

All candidates are required to apply for roles via the Hireful platform.

Applications will be reviewed by the relevant Hiring Manager, who will contact shortlisted candidates to arrange interviews.

Once a recruitment decision has been made, candidates will be notified directly by the Hiring Manager.

Pre DBS Documentation

As part of the interview process, candidates will be asked to present the following documents. These will only be retained and used if you are successful in securing the role:

  • Proof of identity (passport)
  • Two proofs of address

These documents are required solely for the purpose of completing an Enhanced DBS check (where applicable) and will be processed in line with our data protection and privacy policies.

Bank statement: Documents printed from the internet, for example bank statements, are not acceptable for ID purposes. The host can ask their bank to print off a bank statement for them and endorse it with a stamp and signature if they do not have hard copy bank statements.

Step 2. Pre-Onboarding

Successful Candidate will receive a welcome email from hiring Managers with below documents. Complete, sign, and email both forms to hiring manager.

  • IH Declaration form (Emergency contact, bank details, Data protection etc)
  • HMRC Form (UK Tax purposes)
  • Casual agreement/ Contract of employment
  • Picture for the ID Card/ Access card

 

Please ensure that you complete and send it to your Hiring Manager within 48 hours of receiving it.

Step 3. Onboarding (RTW and References)

Successful Candidate will receive an email from HR (pc@ihlondon.com) to process background checks.

“Giant,” our third-party onboarding provider (screening@giantgroup.com), will conduct all necessary checks on behalf of IH London.

1.Right to work check

You will receive a welcome email from Giant. If you do not receive this email, please contact pc@ihlondon.com, and we will be happy to assist you.

Please refer to the link for guidance on your Right to Work (RTW) in the UK and the documentation required to confirm your RTW status on Giant online platform.

2. Reference Check

International House London is fully committed to safeguarding the welfare of all children and adults at risk, in line with our statutory Duty of Care. We recognise our responsibility to take all reasonable steps to promote safe practices and to protect children and vulnerable adults from harm and abuse. This commitment requires us to act appropriately to any allegations, reports, or suspicions of abuse.

Candidates must provide two references. At least one referee must confirm your suitability to work with students under the age of 18. One reference must be from your most recent employment. Referees will be asked to confirm if they have any concerns about the applicant’s suitability to work with minors and to disclose any relevant disciplinary actions or allegations.

Step 4. Enhanced DBS check

(To process this check, your Hiring Manager will request to see your original passport and two proofs of address in order to complete the Enhanced DBS check)

The DBS enhanced check will be processed by our third-party onboarding provider, “Giant” . You will need to complete the online form on their platform, following the email instructions sent from screening@giantgroup.com. Please review the documents required for the online DBS check by selecting the “ID Checking” tab.

Guidance: Before starting the DBS check on the Giant platform, please refer to the link “ID Checking” to prepare the documentation you will need to complete the online DBS application.

To work at IH London you will need a satisfactory Enhanced DBS Check, which means you will be checked against the Police National Computer & the Children’s Barred List.

Overseas Candidates: For applicants who have lived overseas, we will endeavour to obtain a police clearance check which should be emailed to pc@ihlondon.com. These will be required for any applicants who have resided or worked in a country for a minimum of 6 months in the last 3 years. Step 5. Safeguarding Training

International House London is fully committed to safeguarding the welfare of all children and vulnerable adults in line with its statutory Duty of Care. It recognises its responsibility to take all reasonable steps to promote safe practice and to protect children and vulnerable adults from harm and abuse.

As part of our accreditation with the British Council, we require all staff to complete the safeguarding training prior to starting with us. To prepare for this, take some time to read our safeguarding and health & safety documents below.

Step 6. FAQs

What should I expect on my first day?

On your first day at IH London, your line manager will take charge of helping you settle in smoothly. They’ll introduce you to key individuals and ensure your induction is tailored to your role and experience. You’ll learn about IH London’s values, business objectives, and your specific responsibilities. This includes meeting senior leaders and your team members, IT induction, safeguarding training, and getting familiar with health & safety procedures.

 

Do I need to bring anything with me on my first day?

Yes, please remember to bring along your passport, original qualifications, and DBS certificate.

 

How do I see my payslip?

You can view your payslip via ADP. If you select ‘Pay and statements’, you will be able to see all your payslips & other pay related documents (i.e. P60s). Payslips are usually released the day before pay day.

 

How can I access ADP?

You will receive an email from ADP to set up your account with a temporary password. Upon your first login, you’ll be prompted to enter your username and temporary password. Once logged in, you’ll be guided through creating a new, more secure password.

 

What is the Pay As You Earn (PAYE) system?

The PAYE system is an automatic tax deduction process used by Payroll systems to deduct Income Tax and National Insurance from your gross salary. This applies to all employees, including students and seasonal workers.

 

What happens if my tax code is unclear or incorrect?

In case your tax code is unclear, an emergency tax code (e.g., BR) may be applied. If you believe your tax code is incorrect, please get in touch with HMRC directly. They will issue a new tax code to IH London for the next payroll, ensuring the correct tax amount is deducted. Due to Data Protection legislation, IH London will not be able to call HMRC on your behalf.

What income is subject to UK income tax?

UK income tax may apply to various sources of income, even if you are not a UK resident. If you are eligible for a Personal Allowance, you will pay Income Tax on income above that amount; otherwise, you will be taxed on your entire income.

 

What if I am paying too much tax?

If HMRC does not have up-to-date details about your income, you might be overpaying taxes. This could happen if you recently started a new job, have more than one job, or receive company benefits. To avoid overpayment, make sure your tax details are accurate and updated.

 

How can I get a tax refund if I am due one?

If you are due a tax refund and your tax code has been corrected, your employer will provide the refund in your pay. You should receive the refund in your next pay once HMRC has sent your employer your new tax code.

 

Can my employer change my tax code?

As an employer, your company cannot directly change your tax code. Tax codes are issued by HM Revenue and Customs (HMRC) based on the information they have about your income and allowances. If there are any issues with your tax code, you should contact HMRC directly to resolve the matter.
